This Privacy Notice explains how Game of Throwing London (“Game of Throwing”, “we”, “us” and “our”) collects and uses personal data when you visit our website, make a booking, contact us, or visit our venue at 136 King Street, Hammersmith, London W6 0QU.

We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1.Who we are and how to contact us

Game of Throwing London is the data controller for the personal data described in this notice. Questions about this notice or about your personal data should be sent to the contact details above.

2.The personal data we collect

When you make a booking

Bookings are made through our online booking system, operated by Resova. When you book, we collect:

• Identity and contact details — name, email address and telephone number of the Lead Booker;
• Booking details — venue, date, start time, package, group size and, where relevant, participant ages for supervision requirements;
• Payment confirmation — the amount paid and payment status. Card payments are processed by a specialist payment provider; we do not receive or store your full card details.

When you contact us or make an enquiry

• Enquiry details — your name, company name (for corporate enquiries), email address, phone number, group size, preferred date and the content of your message;
• Correspondence — records of emails and phone requests, including cancellation and rescheduling requests, which we keep so that changes can be confirmed in writing.

When you visit our website

• Technical data — our website is hosted on Squarespace, which collects standard server logs (IP address, browser type, pages visited) and uses cookies necessary for the site to function. Analytics cookies are used to understand site performance where enabled;
• Fonts and embedded content — the website loads fonts from Google Fonts and Adobe Fonts (Typekit), which may log the IP address of your device when the font files are requested.

When you visit our venue

• CCTV images — CCTV operates at the venue for safety, security and incident-management purposes. Signs at the venue identify the covered areas;
• Incident records — if an accident or safety incident occurs, we record the details we need for health-and-safety and insurance purposes.

3.Why we use your personal data

We use personal data for the following purposes and lawful bases:

• To administer bookings — taking payment, sending confirmation emails, managing cancellations, rescheduling and account credit (performance of a contract);
• To provide the booked experience — checking your group in, running the session, confirming ages and supervision requirements (performance of a contract and legal obligation);
• To respond to enquiries and complaints — including corporate and bespoke event enquiries (legitimate interests, or steps taken at your request before entering a contract);
• To maintain venue safety and security — CCTV operation and incident records (legitimate interests and legal obligation);
• To prevent fraud and misuse — verifying payments and investigating suspected abuse of our booking system (legitimate interests);
• To comply with legal obligations — accounting, tax and health-and-safety record keeping (legal obligation);
• To send marketing — only where you have given valid permission or another lawful basis applies. Accepting our Terms and Conditions is not treated as consent to receive marketing. You can opt out of marketing at any time.

4.Who we share personal data with

We share personal data only with service providers that support our booking, payment and business systems, and only to the extent needed for them to provide their services to us:

• Resova — our online booking and scheduling platform;
• Payment providers — specialist payment processors that handle card payments at checkout. We do not store customers’ full payment-card details;
• Squarespace — our website hosting platform, including website forms;
• Email and business systems — providers that support our email, document and customer-communication systems.

We may also disclose personal data where disclosure is required by an authorised public body or by law — for example to the police, a local authority or HMRC.

We do not sell personal data.

5.International transfers

Some of our service providers may process personal data outside the UK. Where that happens, the transfer is protected by safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or an adequacy decision.

6.How long we keep personal data

• Booking records — kept for up to 6 years after the booking to meet accounting, tax and legal requirements;
• Account credit records — kept while the credit remains valid (12 months from issue) and afterwards as part of booking records;
• Enquiries and correspondence — kept for as long as needed to handle the enquiry and for a reasonable period afterwards;
• CCTV footage — retained for a limited period and then overwritten, unless footage is needed for an incident investigation, a legal claim or a lawful request;
• Incident records — kept in line with health-and-safety and insurance requirements.

7.Cookies

Our website uses cookies that are necessary for it to function, and may use analytics and performance cookies provided through the Squarespace platform. You can control cookies through your browser settings and, where shown, through the cookie banner on the website. Blocking necessary cookies may affect how the website works.

8.Your rights

Under UK data protection law you have the right to:

• access the personal data we hold about you;
• ask us to correct inaccurate or incomplete data;
• ask us to delete your data in certain circumstances;
• restrict or object to our processing in certain circumstances, including any processing based on legitimate interests;
• receive a copy of data you provided to us in a portable format;
• withdraw consent at any time, where processing is based on consent (for example marketing);
• opt out of marketing at any time.
